Who we are

Link & Dink (“we,” “us,” “our”) is a Maryland-based pickleball community operator. We run pop-up tournaments, curated groups, and leagues across the DMV. Reach us at admin@linkanddink.com.

What we collect

Depending on how you use Link & Dink, we collect:

• Newsletter: your email address and which page you signed up from
• Events(waivers, RSVPs, text opt-in): name, email, phone number, date of birth; for minors, a parent or guardian's name, email, and phone; your consent choices (liability, media, SMS) and the time you signed; your IP address and browser type (for our audit trail); event participation history (RSVPs, attendance, match results); optional player details you choose to share (gender, DUPR ID — used for brackets and matching); payment records when an event has an entry fee (Stripe processes the payment — we keep the payment reference, never your card number); and, if you arrived from an announcement link, the campaign tags on that link
• Bracket placement quiz: the answers you give about comfort, pace, schedule, and location
• Player sign-in (/play/me): your email, used to send a sign-in link

How we use it

• Send the weekly newsletter you signed up for
• Run the events you register for — rosters, brackets, scoring
• Send transactional emails (RSVP confirmations, schedule updates, cancellations)
• Send text messages — only if you opted in on the waiver or RSVP form
• Place you in a skill bracket and improve event programming and player matching
• Marketing and social media using photos/video — only with your media release

Text messaging (SMS)

We only text you if you explicitly opted in. Messages may include event reminders, schedule changes, court assignments, match results, waitlist notifications, and weather cancellations. Message frequency is typically up to 8 per month. Message and data rates may apply. Reply HELP for help or STOP at any time to unsubscribe. We do not sell or share phone numbers with third parties for their marketing. SMS opt-in data — including phone numbers and consent — is not shared with third parties or affiliates for marketing purposes.

Who we share it with

We share limited information only with:

• Service providers who help us run the community — payment processors (Stripe), email delivery (Resend), SMS delivery (Twilio), hosting (Vercel, Supabase). These providers see only what they need to do their job.
• Event partners(venues, coaches) — only your name and what's needed to play.
• Law enforcement — only if legally required.

We do not sell your data.

Photos & video

If you agreed to the media release in the event waiver, photos and video from events may appear on our website, social media, newsletters, marketing materials, and partner promotions. You can ask us to remove specific images at any time by emailing admin@linkanddink.com.

Your choices

• Unsubscribe from the newsletter: click the unsubscribe link in any issue.
• Unsubscribe from texts: reply STOP to any message, or email us.
• Delete your data:email us and we'll erase your records across our systems in one pass — events, sign-ups, and texts. Two things we keep: signed waivers (through the legal liability window, below) and payment records (kept for financial reconciliation, stripped of everything that identifies you).
• Withdraw media consent:email us. We'll stop new uses going forward; we can't pull material from third-party reposts.

How long we keep it

• Newsletter addresses: kept until you unsubscribe.
• Signed waivers and consent records(including SMS opt-in records and timestamps): retained through the legal liability window — in Maryland that's 3 years to file an injury claim, and for a minor the clock doesn't start until they turn 18. We keep these even if you ask us to delete everything else: the signed release is the record that protects you, your child, and the community if a claim is ever made.
• RSVP and attendance records:kept while you're active in the community, and erased when you ask us to delete your data.
• Payment records: kept for financial reconciliation, but stripped of everything that identifies you when you ask us to delete your data.
• Children's info: kept only while your child is in the program, and erased on request.

Children under 13

We don't knowingly collect information directly from children under 13. Minor sign-ups go through a parent or guardian, who signs the waiver and RSVPs on the child's behalf — children never get their own accounts.

Parents: email us and we'll erase your child's information at any time. The one thing we keep is the signed waiver, retained through the legal liability window — for a minor that runs until 3 years after they turn 18.

Changes to this policy

We may update this policy when our practices change. The “Last updated” date at the top reflects the current version. Material changes will be announced via email or text (if you've opted in).
